Periodic/ Routine Inspections
Routine inspections are carried out to ensure the property is well cared for and to check if there are any maintenance or health and safety issues
Entry/Ingoing Inspections
This records the general condition of the property, on a room by room basis, including fittings and fixtures with as much detail and accuracy as possible. The report will be a key piece of evidence at the end of the tenancy if there is a dispute about replacing missing items, paying for cleaning or damages.
Exit/Outgoing Inspections
Prior to releasing the bond, This records the general condition of the property, on a room by room basis, including fittings and fixtures with as much detail and accuracy as possible. The process is very efficient, your office emails us a list (excel format) of inspections due for the coming month, your office issues the Entry Letters to the tenants
On the day, the inspector arrives to collect the keys from your office, at the completion of the day, the inspector will return the keys back to your office.
Our vehicles & clothing are unmarked (but always professional in appearance).
Pricing (Please contact us)
Routine Inspections
Based on your staff organising the inspections using their Inspection notification letter and advising us. Minimum 15 inspections in 1 day. If less than 15 inspections are requested on any one day, a minimum of 10 inspections will be invoiced. Our preference is 20 inspections per day.
Ingoing/Entry and Outgoing/Exit Inspections
We prefer 4 days advanced warning if possible for all ingoing/outgoing inspections otherwise we
will aim to fit it in as soon as possible thereafter.
Communication :
All communication will be between your Property Manager and Oxford Tenancy Inspections
Keys will be picked up and dropped off as discussed with our Inspector.
Oxford will require access to your Inspection App or we can provide you PDF Versions etc
We have zero contact with the tenants. Any issues/requests that arise at the inspection we refer them to contact the property manager.
Our preference is no exact time be given to the tenant but rather a blanket "Routine inspection will occur anytime between 9am to 5pm on Monday XXX, 2022
Payment for Service.
Inspections will be invoiced on completion and are payable within 7 days of invoice.
Oxford agrees to;

provide a professional inspection service

provide a detailed inspection report within 1 day of performing the inspection

provide timely feedback (email or phone) to the client of any immediate urgent issues such as gas leaks, water leaks etc during the inspection
You agree to;

pay Oxford the agreed price (fee for service) within 7 days of invoice

pay a “No Access” fee if Oxford are unable to gain entry to a property due to reasons out of the control of Oxford. For example: No keys or incorrect keys are provided and the tenant is not home, the tenant refuses access at the time of the inspection

provide Oxford with 4 weeks written notice (email) if intending to cease using our services

provide a list of properties for the coming month in excel or via you app

information to be provided in excel format (or via app ) and contain as a minimum – the property address

information and all enquiries are to be sent to us via email

work cooperatively with Oxford to ensure all services are delivered in an efficient manner. For example,
